Knowify plans at a glance
| Plan | Yearly billing (per month) | Monthly billing | Users included | Onboarding sessions |
|---|---|---|---|---|
| Core | $99 | $149 | 1 | 1 |
| Advanced | $329 | $399 | 10 | 3 |

The page shows both prices side by side with a yearly and monthly toggle. The page code marks the lower figure as the yearly price, so $99 and $329 are the rates you get by committing to a year.
What Core includes and what it leaves out
Core is built for contractors running fixed-price and AIA jobs. It includes estimates and proposals, fixed-price contracts, CRM, the mobile app, unlimited jobs, documents and photos, scheduling, time tracking, change orders, task management, a projects dashboard, progress billing, purchases and expenses, accounts receivable, AIA pay apps, and payment processing.
What it leaves out is the bigger story. Core does not include job costing, project budgets, cost-plus or T&M contracts, subcontracts, daily logs, work orders, the client portal, or custom workflows. A commercial sub that bills on an AIA G702 and wants to know whether a job is making money needs Advanced.
What Advanced and Enterprise add
- Advanced: everything in Core plus job costing, real-time WIP reporting, project budgets, cost-plus and T&M contracts, subcontracts and subcontractor management, daily logs, work orders, client portal, custom workflows, custom branded documents, the AI Connector, Zapier, and advanced reporting.
- Enterprise: everything in Advanced plus unlimited users, advanced user permissions, custom forms, RFIs and submittals, document markup, equipment management, inventory management, QuickBooks Desktop integration, and Intuit Enterprise Suite integration, with priority support. Prevailing wage is listed with a price marker but no figure.
Two notes for buyers. If you run QuickBooks Desktop, the integration sits on Enterprise, which means a sales conversation. And if you do public work, ask what the prevailing wage feature costs, because the page flags it as extra without saying how much. Contractors who prepare certified payroll should get that number before the demo ends.
Add-ons that change the total
| Add-on | Listed price | What it covers |
|---|---|---|
| Service Pro | $99 a month yearly, $199 monthly | Dispatching, service jobs, maintenance agreements, reminders, inventory |
| Live Equipment Tracking | From $25 per vehicle a month yearly, $35 monthly | GPS trackers (OBD or wired) on vehicles, through the FleetSharp platform |
| Fleet Essentials | $25 per vehicle a month | Live location, maintenance tracking, safety alerts, driver ID |
| Fleet Safety | $45 per vehicle a month | Adds AI dashcam and driver coaching alerts |
| Fleet Safety+ | $60 per vehicle a month | Adds rear camera |
| Equipment Tracking | $19 per unit a month | Trackers for trailers, generators, heavy equipment |
| Tool Tracking | $99 a month | Unlimited tools, needs at least one tracked vehicle |
Knowify says tracking hardware is sold at cost on annual plans and included free on 2- and 3-year terms, with tool tags at $16 and driver fobs at $15.
What drives the cost
- Plan choice, driven by job costing. For most commercial contractors, job costing and WIP reporting decide the plan. That puts the floor at $329 a month on yearly billing.
- Headcount above the included users. Core includes 1 user and Advanced 10. Every user after that is $29 a month.
- Add-ons. Service Pro and fleet tracking can each cost as much as a base plan once you have several trucks.
- Billing term. Monthly billing costs $50 more per month on Core and $70 more on Advanced.
A worked example
Say an electrical subcontractor has 12 people who need logins: owner, office manager, estimator, two project managers, and seven foremen. The company bills GCs on AIA pay apps and wants WIP reporting for its bonding agent. That is Advanced. On yearly billing: $329 for the first 10 users plus 2 extra users at $29 each, or $387 a month and $4,644 a year. Add Live Equipment Tracking on six trucks at the $25 entry rate and the bill grows by $150 a month, or $1,800 a year, before any hardware.
Compare a two-person drywall shop: the owner estimates and bills, and a partner runs the crews. Both need logins, so Core runs $99 plus $29 for the second user, or $128 a month on yearly billing ($1,536 a year). That works fine until the shop wants to know which jobs actually made money. At that point the move to Advanced is a jump to $329 a month, even though 8 of the 10 included seats sit empty. Plan for that step if job costing is on your list for next year.
Strengths and limits
Knowify's strengths are transparent pricing on its two main plans and a feature set aimed at subcontractors and commercial work: AIA billing on the entry plan, WIP reporting on Advanced, and a service module for companies that also do repair work. The $29 extra-user rate is clear and predictable.
The limits are the gaps in Core (no job costing or budgets), the quote-only Enterprise tier that holds RFIs, submittals, and QuickBooks Desktop support, and an unpriced prevailing wage feature.
Hidden costs to ask about
- Payment processing rates. Payment processing is included on every plan, but the pricing page does not list the card or ACH rates.
- Prevailing wage. Marked as a paid feature with no price shown.
- Extra onboarding. Core includes one onboarding session. Knowify says to ask if you need more; ask whether more sessions cost anything.
- Hardware on monthly plans. Hardware is at cost on annual plans and free on 2- and 3-year terms. Ask what it costs if you bill monthly.
- Data export. Ask how estimates, job cost history, and documents come out if you leave.
